Why is an independent check in of tenants important? The value of the inventory report is maximised where the tenant agrees to the content of the inventory at the very beginning of the tenancy. The tenant, by signing and dating the inventory, demonstrates their agreement to the condition of the property.
In the case of a dispute at the end of the tenancy it will be harder for the Landlord to rely on the inventory as evidence if it hasn't been signed by the tenants.
It therefore provides protection to both parties, plus it gives reassurance to the tenant that they will not be held responsible for faults with the property that have already been identified and agreed at the check in.

Key issues that an independent check in can help address include:
- Letting agents not having enough resource to conduct a check in thoroughly using the inventory. The inventory is instantly devalued if the tenants are asked to review and return it in their own time.
- Sometimes tenants fail to return the inventory to the letting agent and as a result there is no signed inventory at the end of the tenancy. The tenant could argue that some damage was already done when they moved in.
- Damage may be caused by tenants moving their furniture and belongings into the property. There may be a urge to alter the inventory to reflect this and then sign and date this with amendments made.
- The major issue of cleanliness. Most disputes at the end of a tenancy are over costs for cleaning, and if the inventory accurately reflects the cleanliness of the property and is signed by the tenants to this effect, it can help reduce disputes at the end of the tenancy.
A check in appointment includes:
- The check-in examines the property on the day that the agreement begins, noting the condition of furniture and fittings against the inventory.
- Meter readings are noted and a photograph is taken to guarantee accuracy.
- The new tenants will be asked to sign for the property keys that are passed over.
- The tenants are walked through the property, giving them the opportunity to review the inventory comments with the inventory agent so that any amendments can be made.
- We also set tenant expectations to maximise bond returns.
- A signed copy of the inventory, including any photographs taken, is then provided to the Letting Agent and/or Landlord. A copy of this document should subsequently be sent to the Tenants for their files.
